Many RFID projects start in the store. The goods arrive, are subsequently labeled, read, checked and integrated into processes. This can work for pilots. For scalable rollouts it is often not the most efficient way.

Source tagging means labeling products at the origin of the supply chain – at the manufacturer, supplier, packager or in an upstream process. The benefits come from scaling: less store effort, better supply chain transparency, more consistent labeling, better data quality, earlier validation and more shelf-ready goods.

The central message: RFID will become stronger if it doesn’t just start in the branch.

1. Why the origin is crucial

Many visible store problems start earlier: incorrect labeling, unclear coding, poor master data linking, inconsistent label positioning or lack of quality control.

If labeling only takes place in the store, there is additional effort, potential for errors and limited supply chain visibility. Source tagging shifts the effort forward and makes goods processable earlier.

2. What source tagging means

Source tagging is the labeling of products at the origin of the supply chain. This can be an RFID label, RF/EAS label, hangtag, care label, packaging label or integrated tag.

The RFID context is not just about physical identification. It is also about correct encoding, master data reference, readability and quality assurance.

3. Store tagging is good for pilots

Store tagging can be useful for quick tests, limited product groups, few branches, proof of concept or short-term follow-up labeling. It can be started quickly and initially requires less supplier integration.

But store tagging is manual, local, and difficult to scale.

4. Source tagging reduces store effort

Branch time is expensive and scarce. Teams are supposed to sell, advise, maintain products and help customers – not tag masses of products afterwards.

5. Source tagging improves data quality

RFID is only as good as its data quality. If tags are incorrectly coded, assigned twice, poorly placed or unreadable, subsequent problems arise in inventory, omnichannel, goods receipt and loss prevention.

Source tagging can improve data quality because labeling and encoding can be carried out in a standardized and controlled manner.

6. Label positioning and encoding

A good label can perform poorly if it’s in the wrong place. Positioning must take into account product, packaging, reader, reading zone, box layer, store process and brand aesthetics.

Encoding is the invisible success factor: Which EPC structure is used? Who creates IDs? How are duplicates prevented? Which data is on the tag and which is in the backend?

7. Quality assurance in front of the store

Quality assurance must check:

  • physical label quality
  • correct positioning
  • correct coding
  • Readability in the real process
  • Error and rework processes

Only if quality is ensured upstream can the store downstream have confidence in the data.

8. Source tagging as a supplier program

A source tagging rollout is a supplier program. Manufacturers, packagers, printing service providers, logistics, purchasing, IT, store operations and quality management are affected.

Specification, supplier communication, onboarding, testing, release process, audit, error process and rollout plan are necessary.

9. Brand integrity and packaging design

A common objection is that the label interferes with the packaging design. This is exactly why RFID should be planned early. Then it can be integrated into hangtags, care labels, packaging backs or other brand and product logic.

10. Omnichannel and Loss Prevention

If items are clearly identifiable before entering the store, goods receipt, DC processes, store inventory, click & Collect, ship-from-store and returns.

Loss prevention also benefits: products arrive in the store protected and ready for processing; Label placement is more consistent and RFID EAS scenarios become more scalable.

12. The right project process

Define use case, prioritize product group, carry out label and inlay test, determine positioning, define encoding rules, onboard suppliers, establish quality assurance, carry out pilot, measure KPIs, scale rollout.

RFID does not only reveal its full value in the store. RFID unfolds its value when items are visible, coded and processable from the start.
